Our Scope of Service

Creating Clean, Safe & Ready-to-Learn Environments
A school requires more than routine cleaning. It requires a structured approach that considers high-traffic areas, shared facilities, hygiene-sensitive touchpoints and the day-to-day needs of students and staff.
Our school cleaning services are tailored around each facility’s timetable and requirements, with a focus on consistency, presentation, hygiene and minimal disruption to the school community.

Every school operates differently. Cleaning schedules can be developed around student numbers, facility size, high-traffic periods, operating hours and individual site requirements, providing a practical and consistent cleaning program that works around the school—not the other way around.

The School Care Service Stages
Our Commitment to Child-Safe Environments
Every cleaner. Every visit. Every classroom.
For us, working within a school environment carries an additional level of responsibility. Our approach is built around ensuring personnel understand that they are entering an environment created for children and young people. Child safety, professional conduct, compliance and cleanliness are treated as fundamental requirements of the service—not optional extras.
Victoria’s Child Safe Standards similarly emphasise suitable personnel, appropriate induction, ongoing supervision and environments that promote children’s safety and wellbeing.
01. Site Assessment & Scope Verification
We begin with a detailed site walkthrough with school management or the nominated representative. We assess classrooms, amenities, administration areas, high-traffic zones, specialist facilities and other areas requiring attention.
From this assessment, we develop a clear scope covering cleaning frequencies, priority areas, access requirements, security arrangements, periodic cleaning and site-specific expectations. Victorian government school guidance similarly uses a site-specific Cleaning Services Plan as an important accountability tool between schools and cleaning providers.
02. Compliance & Personnel Verification
Before personnel are allocated to a school environment, applicable screening and site requirements are verified. This can include Working with Children Check requirements, identification, relevant suitability checks and other documentation required by the individual school or contract.
Victorian guidance specifically recognises contractors and employees of contracted service providers when determining WWCC and other suitability requirements, and schools may require contracted cleaners working on-site to hold a current Employee WWCC.
03. Child Safety & Site Induction
Cleaning personnel assigned to the site complete the required induction process before commencing work. This includes familiarisation with the school’s Child Safety and Wellbeing Policy, Child Safety Code of Conduct, reporting obligations, access restrictions, emergency procedures and site-specific expectations, where applicable to their role.
This aligns with Victoria’s Child Safe Standards guidance, which places importance on appropriate induction and ensuring relevant personnel understand their responsibilities around children and young people.
04. Site-Specific Cleaning Plan
Following assessment and induction, we establish a structured cleaning plan tailored to the school. Tasks are mapped by area, frequency, priority and required standard, helping cleaners clearly understand what needs to be completed on every service.
Particular attention can be given to high-touch surfaces, bathrooms, classrooms, shared learning areas, staff facilities, entrances and other high-use spaces.
05. Dedicated Service Delivery
Where practical, we aim to maintain a consistent cleaning team familiar with the school’s layout, requirements and expectations rather than continually rotating unfamiliar personnel.
Cleaning is scheduled around the school’s operating requirements to minimise disruption while maintaining appropriate access, security and child-safety protocols.
06. Cleaning Verification & Sign-Off
Cleaning is not simply completed and forgotten. Our service process can incorporate cleaning checklists and completion records to verify that scheduled areas and tasks have been attended to.
Any identified maintenance concerns, damage, hazards or cleaning issues can be documented and escalated to the appropriate school representative in accordance with the agreed reporting process.
07. Quality Audits & Performance Monitoring
Scheduled quality inspections provide an additional level of oversight beyond the day-to-day cleaning service. We review the condition of key areas against the agreed scope and identify opportunities for corrective action or improvement.
Ongoing monitoring is an important part of Victorian school cleaning arrangements, with government guidance referring to regular cleaning audits and review processes.
08. Reporting & Continuous Improvement
We maintain open communication with the school’s nominated contact and use feedback, audit findings and service observations to continually refine the cleaning program.
Where standards require improvement, corrective actions can be documented, assigned and followed through. The objective is not simply to provide a cleaner—it is to provide the school with a managed cleaning service with accountability behind it.

Child Safe Induction & Compliance
Protecting children goes beyond a background check. Before MK Facility Group personnel are assigned to a school, childcare centre or other child-focused environment, we implement a structured Child Safe Induction designed to ensure our team understands the responsibilities, boundaries and site-specific requirements associated with working around children and young people.
Personnel assigned to applicable child-related sites are required to provide an appropriate current Employee Working with Children Clearance. MK Facility Group verifies and records clearance details as part of our onboarding and compliance process. Victorian Government guidance specifically notes that a volunteer WWCC cannot be used for paid child-related work.
____________
05. MK Child Safe Induction
Before commencing work, cleaners receive an induction covering appropriate behaviour around children, professional boundaries, restricted areas, appropriate communication and what to do if a child approaches them or they witness something concerning.
____________
02. Pre-Employment & Contractor Screening
Where appropriate to the role and contract, screening can include identification verification, reference checks, police checks and confirmation of relevant licences, qualifications and compliance documentation. Victorian guidance recommends reference checking as part of suitability processes.
____________
06. Professional Boundaries Around Children
Cleaning personnel should be instructed not to unnecessarily initiate physical contact, photograph children, communicate with students through personal devices/social media, or place themselves in situations outside their cleaning responsibilities.
____________
03. Site-Specific School Induction
Your cleaner also follows the individual school’s requirements — including sign-in/out procedures, visitor identification, emergency procedures, restricted areas, security/access arrangements and any specific Child Safe Code of Conduct.
____________
07. Child Safety Reporting & Escalation
Staff should know exactly who to contact if they observe inappropriate behaviour, a potential safety risk or a child makes a disclosure. The cleaner’s role isn’t to investigate — it’s to follow the site’s reporting/escalation procedure promptly. Child-focused complaint and reporting processes form part of Victoria’s Child Safe Standards.
____________
04. Controlled Site Access
Staff should only access areas necessary to perform their cleaning duties. Keys, swipe cards, alarm codes and access credentials should be controlled, recorded and never shared with unauthorised personnel.
____________
Keep a compliance register covering WWCC status/expiry, inductions, training and other required credentials, with periodic checks rather than treating compliance as a once-off exercise. WWC Clearances can be valid for up to five years, subject to suspension, cancellation or surrender.
____________

Common Questions

1. Are your cleaners approved to work in school environments? Yes. We understand that schools require a higher level of care, screening and accountability. Personnel assigned to school environments can be required to hold a valid Working with Children Check (WWCC) and complete relevant site inductions and compliance requirements before commencing work.
____________
2. How do you maintain consistent cleaning standards? Each school is serviced according to an agreed site-specific cleaning scope and schedule. We support this with regular quality inspections, cleaner checklists, management oversight and ongoing communication to identify and address any areas requiring attention.
_____________
5. How do you manage hygiene in high-touch areas? High-contact surfaces such as door handles, desks, light switches, handrails, taps and shared touchpoints can be incorporated into the cleaning schedule. Particular attention is given to high-traffic and frequently used areas to support a clean and hygienic learning environment.
____________
6. What happens if we are unhappy with an area that has been cleaned? We believe accountability is an important part of school cleaning. If an area does not meet the agreed standard, our management team will review the concern promptly and coordinate appropriate corrective action in accordance with the service agreement.
___________
3. Can cleaning be completed outside school hours? Yes. School cleaning can be scheduled around the school’s operating requirements, including before school, after school, evenings and selected non-teaching periods, helping minimise disruption to students, teachers and administration staff.
____________
7. Can you provide additional cleaning during school holidays or special events? Yes. In addition to routine cleaning, we can arrange periodic and detailed cleans during school holidays or other suitable periods. This may include deeper floor cleaning, detailed classroom cleaning, window cleaning and other services outside the regular maintenance scope.
____________
4. What areas of a school can you clean?
Our school cleaning programs can cover classrooms, administration areas, staff rooms, libraries, corridors, toilets and amenities, kitchens, common areas, multipurpose spaces and other agreed areas. The scope is tailored to the individual school’s facilities and requirements.
____________
8. How do you prepare a cleaning quote for a school? We prefer to conduct a complimentary site assessment so we can understand the school’s size, facilities, traffic levels, cleaning frequency, access requirements and expected standards. From there, we develop a tailored scope of service and transparent quotation designed around the school’s actual requirements.
